Clients may request that identifying information is removed or anonymised before publication.

Where appropriate, we may replace personal information with generic placeholder information such as:

The purpose of these replacements is to protect privacy while preserving the creative and artistic value of the design.

Guest Information

Guest names and related information are collected solely for producing personalised wedding stationery.

Examples include:

• Invitations
• Place cards
• Seating plans
• Save the dates
• Envelope addressing
• Wedding signage

Guest information is never used for marketing purposes.

Guest information is only shared where necessary to complete an order, such as professional printing requested by the client.

How Long We Keep Information

Client Information

Client names, email addresses, telephone numbers, wedding dates, venue details, correspondence and project information are generally retained until 1 January following the wedding date.

After this time, information that is no longer required will be deleted or anonymised.

Guest Information

Guest names, guest lists and seating plan data are retained only as long as necessary to complete the project and provide reasonable post-delivery support.

Guest information will normally be deleted no later than 1 January following the wedding date.

Invoices and Financial Records

Invoices, payment records and accounting information are retained for a minimum of six years.

Design Files

Design files and artwork may be retained indefinitely as part of RGE Design’s intellectual property portfolio and business archive.

Where appropriate, personal information contained within designs may be removed, replaced or anonymised.

Venue names and venue illustrations may be retained indefinitely where they form part of the artistic, historical or creative nature of the design, particularly where bespoke venue illustrations have been created.

Annual January Anonymisation Review

After 1 January each year, RGE Design reviews completed wedding projects.

This review may include:

• Deleting guest lists
• Deleting guest spreadsheets
• Removing RSVP addresses
• Removing RSVP email addresses
• Removing telephone numbers
• Removing unnecessary client contact information
• Removing guest names
• Anonymising completed design files

Venue names and venue illustrations may continue to be retained where they form part of the creative work.

This process helps minimise long-term retention of personal information while preserving artistic work and intellectual property.

Client Deletion Requests

Under UK GDPR, individuals have the right to request deletion of their personal information in certain circumstances.

Where a valid request is received, we will review the information held and delete personal information where there is no legal, contractual or legitimate reason for retaining it.

Certain information may need to be retained, including:

Where design files are retained, personal information may be removed, replaced or anonymised while preserving the artistic elements of the work.
